Place the tote provided specifically for this service in a reserved and accessible location for the van drivers. This location in your library should be the tote's permanent home.
Prepare deliveries the day before pick up.
Check incoming van deliveries as soon as possible so that any material that has been directed to the wrong library can be redirected.
Place messages or requests for materials in the purple pouch provided by CMRLS. Do not place these in the books -- they may stay there forever!
Reverse the name card in the outside pocket of the tote.
Remove all mail from the purple pouch and return the it with the tote.
Call the CMRLS immediately if you find an item that should have been sent to another library.
Choose the correct routing slip for the Region to which the item is going. If you are not sure check the Massachusetts Delivery Routing Directory.
Label envelopes going to specific departments or persons clearly so that they will reach the correct person.
Write or print clearly on the routing slip the destination of the material you want delivered.
Common sense should rule in packaging items for delivery. If an item is fragile and could break or be damaged, put it in an envelope.
Do not tape any notes or names of libraries on any part of a book. Also, do not use excessive amounts of tape to secure a packaged item. Do not use any staples on packaged items since they cause injuries.
Check the Massachusetts Delivery Routing Directory if in doubt about delivery method. The ILL/Delivery office has pickup and delivery for each of the other regions. If the directory says "MAIL" or if the library is not listed, mail it to the library via U.S. MAIL.
Stamp your library and town name AND ADDRESS visibly on all books, records, etc., before you lend to other libraries. This will protect your library’s collection.
Use a new routing slip to return materials. Choose the correct routing slip for the Region to which the item is going. Do not tape notes or the destination of the material on any part of the book.
Label clearly.
If ILL materials are received by mail, the borrowing library is responsible for returning them by mail.
Massachusetts Regional member libraries use standardized delivery routing slips. (pdf, 8 pages) They are linked here in pdf format so you can print or duplicate them locally as needed. To save on labor, type your library’s name in the "from" field before duplicating. Copy the slips on white paper.
